This part-time role is remote, dynamic, and central to the growth of the organization.About the PositionThe Executive Assistant will be a critical partner to the CEO managing calendars, streamlining systems, supporting client engagement, and leading special projects. This isnt just a scheduling role. Were looking for someone with strong project management skills, the ability to take initiative, and the foresight to anticipate needs before they arise.Probationary Period & Growth Path This role will begin with a 90-day probationary period to ensure alignment on skills, culture, and fit. Following the probationary period, there is potential for the position to continue as part-time or expand into a full-time role with benefits, based on performance and organizational needs.MindsetHighly organized with a systems-building mindsetSelf-motivated and able to take ownership with minimal oversightConfident project manager who thrives on moving ideas into actionStrong communicator, both written and verbalAdaptable, resourceful, and solutions-orientedComfortable handling sensitive and confidential information with discretionCollaborative team player who elevates the work of those around themKey ResponsibilitiesExecutive SupportManage complex calendars, prioritize commitments, and coordinate logistics for meetings, events, and travelDraft, edit, and manage communications, reports, and presentations on behalf of the CEOOrganize and maintain internal communication to ensure timely responses and follow-upProject Management & SystemsTrack progress on key initiatives, meetings, and deliverables ensuring deadlines are metCreate and manage systems for task tracking, accountability, and reportingDevelop and implement onboarding, training, and internal systems documentationEvaluate and improve workflows to increase organizational efficiencyOperations & AccountabilityCoordinate quarterly strategic planning sessions and weekly accountability check-insMaintain confidential files, contracts, expense reports, and business recordsConduct team surveys and track productivity/satisfaction metricsPartner with accountant monthly to review financials and cash flow accuracyClient & External EngagementSupport CEO with Tier 1 client outreach (20 contacts per month) and ensure timely follow-upHelp standardize templates for proposals, invoices, and client communicationsManage logistics for trainings, events, and special projects as neededSkills & Qualifications3+ years of experience as an Executive Assistant, Project Manager, or in a similar operations roleStrong project management skills (experience with tools like Calendly, Slack, HighLevel, and ClickUp preferred)Excellent organizational and time-management skillsTech-savvy with proficiency in ClickUp, Google Workspace, Slack, and other productivity platformsExceptional written and verbal communication skillsAbility to work independently, anticipate needs, and take initiativeProven track record of supporting senior leadership in a fast-paced environmentHigh degree of professionalism, integrity, and discretionCompensation & HoursHourly Rate: $20$25 per hour, based on experienceHours: 20 hours per week (core availability MondayThursday, 10:00am3:00pm EST, with some flexibility)Location: Primarily remote, with occasional in-person trainings (including some evenings/weekends)What Success Looks LikeThe CEOs calendar is managed seamlessly, with priorities aligned and conflicts avoidedProjects move from vision to execution on time, with clear progress trackingA task and accountability system is implemented and actively used by the teamClient outreach and follow-ups are consistent, professional, and effectiveStrategic planning sessions are well-prepared and documented with clear next stepsFinancial reporting and organizational records are timely, accurate, and well-organizedTeam members report improved communication, accountability, and productivityWork EnvironmentThis is a primarily remote position requiring strong communication, initiative, and independent management of priorities.
